II.1.4) Trumpas aprašymas:

GRID-Arendal regularly develops a wide range of communication products, including reports, infographics, atlases, promotional materials and visual narratives, which require professional copyediting, translation and design/layout services to ensure clarity, accuracy and visual appeal. In light of the above, GRID-Arendal is seeking a supplier to establish a framework agreement that will simplify the procurement process. Objectives The primary objectives of this framework agreement are: • Copyediting: To enhance the clarity, coherence, and readability of documents while ensuring grammatical accuracy and adherence to the organization's style guide. • Translation: To provide accurate and culturally appropriate translations of documents from source language to target language and vice versa, maintaining the original meaning and context. • Design/Layout: To create visually engaging layouts and graphics for documents, presentations, and promotional materials that align with the organization's branding guidelines. Scope of Work The service provider will be expected to perform the following tasks: • Copyediting: o Review and edit documents for grammar, punctuation, spelling, and syntax. o Ensure consistency in style, tone, and formatting. o Provide suggestions for improving clarity and readability. • Translation: o Translate documents accurately, ensuring the original meaning is preserved. o Adapt content to be culturally relevant and appropriate for the target audience. o Proofread translations to ensure accuracy and fluency. • Design/layout: o Develop layouts and designs for various documents and materials. o Incorporate graphics, charts, and images as needed. o Ensure designs are consistent with the organization's branding and visual identity. Deliverables The service provider will be required to deliver: • Edited, translated, and designed documents as specified in individual task orders. • Final versions in the agreed-upon formats (e.g., Word, PDF, InDesign). • Any source files or materials used in the creation of the deliverables. Reporting and Communication • The service provider will report to the Designated Contact Person at GA and maintain regular communication to ensure alignment with project requirements and timelines. • Progress updates and drafts should be submitted according to the schedule agreed upon in each task order. Timeline • The Framework Agreement has a duration of 3 years. • Specific timelines for individual projects will be outlined in separate TORs issued under this Framework Agreement. Budget and payment The maximum value of all awarding contracts during the entire Framework Agreement period referred to herein is estimated at NOK 2,000,000 (Two Million Norwegian kroner). Individual work orders will be issued under the terms and conditions of the Framework Agreement. • The budget for each task will be agreed upon prior to commencement, based on the scope and complexity of the work. • Payments will be made upon satisfactory completion of each task, following the submission of an invoice and any required supporting documentation. Confidentiality and intellectual property • The service provider must maintain confidentiality regarding all materials and information provided by the organization. • All deliverables produced under this agreement will be the intellectual property of GRID-Arendal. Process for submission Interested service providers should submit: • A detailed proposal outlining their qualifications, experience, approach to the tasks and availability. • Samples of previous work relevant to the services required. • A financial proposal indicating rates for each service category (fees can be quoted in USD, Euro, or Norwegian Kroner). Terms of quotation validity Submitted quotations shall be binding and valid for a period of third (30) days from the due date stated herein. • Accepted pricing within this period will be considered firm and fixed. • GRID-Arendal will award the full contract and will not accept partial quotations. Further information is in the attached reference terms. All tenders must be in English.
